Church Receptionist Job Description

  1. The Church receptionist reports to the Board of Managers.
  2. Work in the Church office (hours to be determined by Board of Managers).
  3. Keep the Church office tidy and ensure that all equipment and office supplies are kept in good order.
  4. Pickup or order supplies as needed or as requested by Minister, Organist, custodian or committees of the Church.
  5. Maintain the office Church files.
  6. Answer all incoming telephone calls and direct inquiries to appropriate persons. Make outgoing calls as necessary.
  7. Receive, sort and distribute mail. Take outgoing mail to post office.
  8. Prepare weekly bulletin. Create bulletins for special occasions (eg: Advent, Lent Easter and Christmas.) Prepare PowerPoint presentation for weekly service.
  9. Type and photocopy correspondence, reports, and other items as requested by the Minister or Committees and groups within the Church.
  10. Be a member of the Church use committee. Distribute and collect Church use application forms ensuring that the custodian receives a duplicate copy of each completed form. In consultation with the various committees, groups and the Minister, schedule special events and prepare monthly planner.
  11. Collect annual report information from the Minister and various committees from the Church and prepare the annual report.
  12. Keep bulletin boards up to date.
  13. Change the weekly hymns in the Sanctuary
  14. In consultation with the Kirk Session, keep the congregational list up to date.
  15. Maintain a list of persons who have keys to the Church and maintain the key cabinet in the office.
  16. Have the greeter’s nametags ready for greeters at back of the church.
  17. Ensure the Church is secured before leaving the building. (Windows closed, equipment turned off, office door locked and alarm set).
  18. Ideally attends Church and is committed to the Mission Statement and to following direction of leadership at Westminster.
  19. Sell gift cards to the congregation on Sundays and during office hours. Maintain ledger of cards sold. Acquire from the other Churches involved, the needed Giant Tiger, Food Basics and YIG cards for Westminster. Order and distribute Canadian Tire gift cards to other Churches involved.
  20. Keep track of all hours worked and add any expenses incurred by the office onto your monthly invoice.
